Amerotim is providing timely and accurate financial information and analysis to management, maintaining the financial records and transactions of all type of business (sole proprietorship, LLC with one partner, LLC with two or more partners, S corporation).
1) FINANCIAL REPORTS
- Categorize the income and expense items according to annual tax forms.
- Ensure that all quarterly and yearly taxes are paid on time: business, property, corporate, sales, payroll, employment security, industrial insurance, federal withholding.
- Prepare timely, accurate financial statements.
- Provide monthly and quarterly reports to operation managers as directed.
- Monitor deviations from estimates and/or budget and inform management.
2) ACCOUNTS PAYABLE
- Check invoices for accurate amount. Follow-up to be paid in full.
- Pay verified bills. Maintain good credit.
- Record the designated expenses to tax deductible categories.
- Enter all COD invoices into the books in timely manner.
- Monitor cash flow status. Maintain daily account balance. Schedule large payments, in coordination with operation managers, and/or Owner(s) to avoid strains on cash.
- Research and correct problem accounts.
- g) Conduct and oversee maintenance of invoice files.
3) ACCOUNTS RECEIVABLE
- Establish new accounts and process credit applications if needed.
- Prepare monthly statements for accounts receivable; follow up as needed to ensure payment.
- Record and work to collect bad checks with the support of the Owner as needed. Record other accounts receivable and follow up as needed to ensure payment.
- Monitor A/R account, ensuring timely payment and coordinating with appropriate departments.
4) MONEY-HANDLING & BANKING
- Prepare bank deposits and enter daily deposits (cash & cards) to ensure timeliness and accuracy.
- Ensure deposits and checks (printed and numbered) in the bank are reconciled with the books.
- Reconcile the books with monthly bank statements for each bank account.
- Produce discrepancy reports for the Owners to inform Cashiers on accuracy of cash-handling and drawer-counting.
- Monitor cash accounts (CD’s, Money Market, Checking, etc.)
- Work with outside contractor to provide bank reconciliations.
5) TECHNOLOGY & OFFICE COORDINATION
- All bookkeeping responsibilities items are monitored and recorded in licensed QuickBooks Pro and Microsoft Office programs (Excel, Word)
- Ensure backup and create computer system image for all data entered. Review systems and recommend improvements as needed.
- Conduct or oversee the purchasing and tracking of office supplies within budget limitations.
- Coordinate office cleaning, recycling, and organization.
6) OTHER RESPONSIBILITIES
- Prepare monthly, quarterly, and other reports as needed to the Owner, federal and state agencies.
- Attend and participate as appropriate in staff meetings and other meetings as necessary.
- Answer and route phone calls, take and route messages as needed.

2004 – Present: Bookkeeping for Various Small Businesses
QUALIFICATIONS:
- Expert using QuickBooks Pro, TurboTax and Microsoft Office, Microsoft Outlook programs.
- Member in good standing of the American Institute of Professional Bookkeepers.
- Over 20 years Full-charge bookkeeping experience.
- General Finance experience
- Understanding of basic accounting principles.
- Computer literacy, proficiency with accounting software, spreadsheets, word processing, email, keyboarding, and ten key.
- Communication skills--good listener, clear directions.
- Organized, meticulous attention to detail.
- Demonstrated ability to follow through on commitments.
- Regular, predictable attendance.
